Organization Details

The Merah Putih Initiative (TMPI) is a non-government institution, formed out of a deep commitment to addressing Indonesia’s evolving policy environment. Our mission is to set a new benchmark on how the country’s policy priorities are designed, executed, and improved.

As national policy priorities expanded in scale and ambition, many lacked clear public articulation and faced challenges in grassroots execution, resulting in suboptimal impact despite their long-term importance.

TMPI exists to close these gaps and strengthen how policy intent translates into credible development outcomes.

The Opportunity

We are seeking an Executive Assistant to join our team and serve as a trusted partner to our leadership, helping build the operational foundation of TMPI. This is a rare opportunity to shape the administrative systems, coordination processes, and organizational culture from day one, working directly with our CEO Office and senior leadership team to enable the effective execution of impactful programs across Indonesia.

This role is ideal for a highly organized and proactive professional who thrives in ambiguity, has an entrepreneurial mindset, and is passionate about supporting mission-driven work that addresses Indonesia’s most pressing social challenges. The successful candidate will be comfortable managing multiple priorities, coordinating across diverse stakeholders, and creating structure in a fast-paced and evolving environment. Experience with administrative and operational support is essential, while knowledge of cash flow management, bookkeeping, and basic financial administration is highly desirable.

Key Responsibilities

Executive & Leadership Support

  • Assist the CEO Office in managing the Board of Executives’ calendar, meetings, travel arrangements, and priority scheduling to ensure efficient use of leadership time.
  • Prepare meeting agendas, briefing materials, presentations, and follow-up action items, and track the implementation of key decisions.
  • Facilitate effective coordination across leadership, program teams, and external stakeholders by tracking action items, scheduling engagements, and ensuring timely follow-through on key initiatives.

Operations & Project Coordination

  • Coordinate internal workflows and organizational processes to support the effective execution of programs, events, and strategic initiatives.
  • Monitor timelines, deliverables, and follow-up actions across teams to ensure projects remain on track.
  • Support the preparation of reports, correspondence, proposals, terms of reference documents, and other organizational materials.

Administrative & Financial Support

  • Oversee day-to-day administrative operations, including document management, procurement coordination, filing systems, and office administration.
  • Assist with expense tracking, reimbursement processes, bookkeeping records, cash flow monitoring, and financial documentation in coordination with the finance function.
  • Support compliance, record-keeping, and the maintenance of organizational documentation to ensure operational efficiency and accountability.
Experience & Qualifications

Professional Experience

  • Minimum 2 years of experience as an Executive Assistant, Administrative Officer, Operations Associate, Project Coordinator, Office Manager, or in a similar role.
  • Demonstrated ability to manage multiple priorities, coordinate complex schedules, and support senior leadership in a fast-paced environment.
  • Experience preparing reports, presentations, meeting materials, correspondence, and organizational documents.
  • Strong organizational skills with the ability to manage confidential information with discretion and professionalism.
  • Experience working in startups, foundations, NGOs, consulting firms, professional services firms, or mission-driven organizations is a plus.

Technical Expertise

  • Excellent proficiency in Microsoft Office and Google Workspace applications, particularly Word, PowerPoint/Slides, Excel/Sheets, Outlook/Gmail, and Google Calendar.
  • Strong project coordination and administrative management skills.
  • Familiarity with digital collaboration and project management tools.
  • Knowledge of basic bookkeeping, cash flow monitoring, expense tracking, procurement administration, and financial record-keeping is a strong advantage.
  • Excellent communication and facilitation skills in both Bahasa Indonesia and English.
